Nobody Claps for the Sound (Until It Fails)

Ask any events manager what keeps them up the night before a big production or corporate event and it’s rarely the catering. It’s not the décor either, or whether the LED screens will arrive on time. It’s the quiet, nagging fear that something they can’t see will fail in front of everyone they’re trying to impress. Usually, that something is the audio.
Lighting gets attention. Staging gets budget conversations. Audio gets nodded at and moved past… right up until the moment a wireless mic drops out mid-sentence and three hundred people turn to look at whoever’s standing at the back of the room with a clipboard.
Every Event Is, at Its Core, a Communication Exercise
Strip away the staging, the LED screens, the décor and the carefully curated playlist during cocktail hour, and what you’re left with is someone trying to say something to a room full of people:
- A CEO delivering a company update
- A keynote speaker making a case for change
- A presenter launching a product they’ve spent a year building
- An MC holding the energy of an awards evening together across four hours
All of it depends entirely on one thing: can the audience hear them clearly?
When the audio is right, the audience stays engaged and the message lands. When it isn’t, people start leaning over to each other, straining to follow and losing the thread. From there, it spirals: the speaker loses confidence, the room loses momentum, and no amount of impressive staging can rescue a presentation that the back half of the venue can’t properly hear.
The Stack Is the ‘Easy’ Part
Walk into any venue during setup and ask someone where the sound comes from. They’ll point at the speakers. They’re not wrong, but they’re also only looking at the last 10% of the equation.
Professional audio is a chain, and every single link in that chain affects what the audience ultimately hears. Not to be too technical, this is how I explain the sound element to our customers:
- The microphone captures the sound
- The wireless system transmits it
- The digital mixer processes it
- The cables carry it
- The loudspeakers reproduce it
Ultimately, the quality of the final result is only as strong as its weakest link.
A world-class speaker system cannot save a cheap wireless microphone. A top-end mixing console cannot compensate for a faulty cable that’s been rattling around in a flight case for two years. This is why professional event companies invest across the entire signal chain rather than throwing budget at one component and hoping for the best.
What’s Actually in the Room
Our primary PA system is built around JBL Professional loudspeakers – one of the most respected names in professional audio and a workhorse across conferences, corporate events, product launches, and exhibitions globally. They perform consistently, they hold up under pressure, and they deliver the kind of clean, clear sound that lets a presenter’s voice do its job without fighting the room.

The Microphone Nobody Thinks About Until It Fails
If you want to know which piece of equipment keeps me honest at events, it’s the wireless microphone. Specifically, the one in the hands of the keynote speaker who’s about to address five hundred people and has zero interest in troubleshooting RF interference.
Microphone failure is one of those things that feels minor until it happens to you and then it’s all you remember about the event. For that reason, we’ve invested in the Shure SLXD+ wireless microphone platform, one of Shure’s newest and most capable professional wireless systems. The audio quality is excellent, but what matters just as much in a live event environment is reliability, scalability, and a frequency architecture built to stay compatible as the RF landscape continues to evolve. We didn’t buy this system for this year’s events; we bought it for the next decade of them.
Where Everything Comes Together
If the speakers are the voice of the system, the mixing console is its brain and a stressed-out one at that. During a live event, the engineer at the desk is managing microphones, presentation audio, playback devices, video feeds, and whatever else the programme throws at them, often simultaneously and always in real time.
We use the Allen & Heath QU5 digital mixing console, a professional-grade desk that gives our engineers the control and flexibility to keep everything sounding exactly as it should, regardless of what’s happening on stage. In the hands of a good engineer, the right console means the audience never has to think about the audio at all… which is precisely the point.
Loud Is Not the Same as Good
There’s a persistent assumption that bigger events simply need louder sound. They don’t. They need better coverage.
In large venues, stadiums, or any environment where the audience is spread across significant distances, carefully positioned delay speakers ensure that sound reaches every part of the room at exactly the right time. Without that, attendees at the back hear the same audio arriving from multiple directions at slightly different moments – the result is the kind of muddy, echoey mess that makes a speech almost impossible to follow.
Smaller corporate events have their own version of this challenge. A boardroom or a mid-sized conference space needs audio that feels natural and comfortable, not like the front row of a rock concert. Getting that balance right takes experience and, frankly, a willingness to resist the instinct to simply turn things up.
The goal is always the same: clear, consistent audio for every single person in the room, regardless of where they’re sitting.
Testing, Testing…
The work that protects an event from audio failure doesn’t happen on the day. It happens the night before, in the dry run and it’s the part of the process that leadership teams consistently underestimate, right up until they’ve done one properly.
Yes, it takes a meaningful chunk of time. For a senior executive who has a business to run and an early morning the next day, a two-hour rehearsal the evening before their big conference can feel like an imposition. We get it, but the reality is that when there are five hundred people in a room the next morning watching your every move, that dry run is the single best investment of time you’ll make in the entire planning process.
In this session, we
- Find out that the CEO prefers a handheld mic over a lapel because the lapel catches the fabric of their jacket every time they move and it’s going to drive everyone in the front row quietly mad.
- It’s also where the product manager, who’s been rehearsing their launch reveal for three weeks, finally hears how the music transition actually sounds in the room, and we adjust the timing so the track drops at exactly the right moment rather than half a beat too early.
- We also work out that the panel moderator gestures a lot and needs the mic gain pulled back slightly, or
- That if the awards presenter walks further downstage than expected, we need to account for that in the mix.
These are not details you can troubleshoot in front of an audience. They need to be solved the night before, in an empty room, with enough time to get them right.
The dry run is also where every microphone, cable, wireless receiver, and connector gets properly stress-tested (not just switched on and checked against a clipboard).
Small faults have a talent for staying invisible until the worst possible moment. A cable with a damaged connector will pass a quick continuity test and fail mid-keynote. A microphone capsule that’s slightly worn will hold together in a quiet room and struggle the moment a speaker starts projecting to a full house. The only way to find those problems is to push the equipment hard, in the actual venue, before anyone important is watching.
It’s not the glamorous part of what we do, but being in the business of producing events, the dry run has saved more shows than any piece of equipment we own.
